These Terms & Conditions apply to all participants, delegates, nominees, awardees, partners, guests, and representatives taking part in any program, summit, award ceremony, networking activity, cultural exchange, or official event organized under the International Young Leaders Forum (IYLF).

By registering for or participating in IYLF, the participant agrees to follow the guidelines, policies, and decisions of the organizing team.

1. Eligibility

IYLF welcomes young leaders, students, educators, entrepreneurs, professionals, mentors, social impact leaders, institutional representatives, and changemakers from different countries and backgrounds.

Participation is subject to registration, profile review, payment confirmation, and final approval by the organizing team.

The organizer reserves the right to accept, reject, or cancel any registration if the applicant provides false information, violates event rules, or fails to complete the required process.

2. Registration & Confirmation

Submission of the registration form does not automatically guarantee participation.

Participation is confirmed only after review, approval, and completion of the required registration/payment process.

Participants must provide accurate personal, academic, professional, travel, and contact details during registration.

The organizer may request additional documents or information when necessary.

3. Registration Fee

The registration fee must be paid within the deadline provided by the organizing team.

Fees may vary depending on the selected package, participation category, accommodation option, and official event plan.

The registration fee covers only the services specifically mentioned in the selected package.

Unless clearly stated, the fee does not include international airfare, visa fee, travel insurance, airport transfer, personal expenses, medical expenses, or any service not mentioned in the package inclusions.

4. Visa & Travel Responsibility

Participants are responsible for arranging their own passport, visa, travel documents, travel insurance, and international travel requirements.

IYLF may provide official invitation or supporting documents only after registration approval and payment confirmation.

Issuance of an invitation letter does not guarantee visa approval.

The final decision on visa approval rests solely with the concerned embassy, consulate, or immigration authority.

5. Cancellation & Refund Policy

If a participant cancels before the visa or documentation process begins, a documentation/administrative charge may be deducted.

If a visa is rejected, visa processing, documentation, administrative, or other already-incurred charges may be deducted.

Once participation is confirmed and major arrangements such as hotel booking, event booking, logistics, ticketing, or package confirmation are made, the paid amount may become partially or fully non-refundable.

No refund shall be provided if the participant fails to attend the program after confirmation due to personal reasons, incomplete travel documents, delayed visa decisions, missed flights, health issues, or other circumstances beyond the organizer’s control.

6. Program Changes

IYLF reserves the right to modify the event schedule, session titles, speakers, venue, program flow, activities, or arrangements when necessary.

Any changes will be made in the best interest of the event and participants.

The organizer is not responsible for changes caused by government rules, visa delays, travel restrictions, flight disruption, natural disaster, emergency, public health concern, security issue, or circumstances beyond control.

7. Participant Conduct

Participants are expected to behave respectfully, professionally, and responsibly throughout the event.

Participants must respect fellow participants, speakers, mentors, guests, organizers, cultural practices, venue rules, and host country laws.

Any form of misconduct, harassment, discrimination, violence, fraud, abusive behavior, or violation of rules may result in removal from the program without refund.

8. Awards & Recognition

Receiving a nomination does not automatically guarantee an award.

Awards and recognition are subject to profile review, eligibility, contribution, documentation, selection criteria, and final approval by the organizing team or selection committee.

The organizer reserves the right to change, merge, rename, postpone, or cancel any award category if necessary.

9. Media & Photography Consent

By participating in IYLF, participants agree that photos, videos, interviews, testimonials, and event-related media may be captured during the program.

The organizer may use such media for promotional, documentation, social media, press, website, archive, and future event purposes.

Participants who have serious privacy concerns should inform the organizing team in writing before the event.

10. Health, Safety & Personal Responsibility

Participants are responsible for their personal health, safety, belongings, travel insurance, and medical needs.

The organizer will make reasonable efforts to support participants during the event but shall not be liable for loss, injury, illness, theft, personal negligence, travel disruption, or incidents beyond its control.

11. Data & Privacy

Information submitted during registration may be used for communication, participation review, event coordination, documentation, certificate preparation, and official updates related to IYLF.

IYLF respects participant privacy and will not intentionally sell personal data to third parties.

12. Final Decision

All decisions made by the organizing team regarding registration, selection, participation, awards, program management, and event operations shall be final.

By registering for IYLF, the participant confirms that they have read, understood, and agreed to these Terms & Conditions.
